This position plays a pivotal role in supporting C-level executives by providing high-level executive assistance, project management support, and comprehensive administrative services.
 The role requires a proactive, detail-oriented individual with excellent organizational skills and the ability to thrive in a dynamic, fast-paced environment.

Responsibilities:

  • Optimize the executives’ time by managing complex calendars, prioritizing meetings, and serving as the main point of contact for all calendar-related matters.
  • Manage and centralize day-to-day communications and updates from direct reports to streamline discussions and improve decision-making efficiency.
  • Facilitate alignment and collaboration across departments through effective coordination and follow-up.
  • Partner with Finance to manage budgets, track departmental expenses, and ensure accurate and timely reporting.
  • Oversee the PO process for vendors and collaborate closely with Finance on all purchasing and invoicing matters.
  • Design and implement efficient workflows and methods to improve processes and reduce turnaround times.
  • Plan and execute executive and departmental events, including offsites, leadership summits, and internal initiatives.
  • Coordinate complex international travel, including flights, hotels, transportation, itineraries, and expense reconciliation.
  • Handle special projects and confidential matters with discretion and professionalism.
  • Support executives in a global, fast-paced environment requiring flexibility, travel, and hands-on problem-solving.

Requirements:

  • At least 4 years of experience as an Executive Assistant supporting C-level executives in a high-tech company.
  • Experience planning and executing executive events, offsites, and complex travel logistics.
  • Excellent written and verbal communication skills in English.
  • Exceptional organizational and prioritization skills, with strong attention to detail.
  • Strong problem-solving capabilities with a proactive, can-do attitude and the ability to anticipate needs.
  • High proficiency in MS Office (especially Excel and Outlook).
  • Ability to work independently, maintain confidentiality, and adapt quickly to changing priorities.
  • Willingness to travel as part of supporting global operations and events.
